PARKS & RECREATION COORDINATOR duties and responsibilities include but are not limited to:

  • Plan, coordinate, and approve the dissemination of information to the public for fitness programs, facilities, and other activities and initiatives
  • Establish and maintain effective working relationships with a variety of city departments, agencies, and staff, as well as other outside agencies and staff
  • Develop, implement, and approve customer-friendly policies, procedures, practices, rules, and regulations to serve the recreational  and fitness needs of the community

Team Management              

  • Coordinate, supervise, and manage a complex unit team that manages fitness programs, community fitness & wellness outreach, facility operations, administration, contracts/agreements, and special events
  • Coordinate the personnel management of all assigned staff, including hiring, evaluating, and disciplining
  • Coordinate & lead meeting with direct reports
  • Develop and administer department, division, and unit policies and procedures to ensure compliance by staff and update policies and procedures when needed
  • Apply problem-solving skills, leadership, and intervention techniques [as needed] to develop and maintain an effective and efficient management and operations team
  • Identify potential and existing problems, analyze options, and approve actions as needed
  • Direct, control, and plan the work of assigned staff and direct reports

Budget

  • Develop, submit, and approve contracts, service agreements, use agreements, and leases for the unit; monitor compliance and approve financial obligations accordingly
  • Develop annual operating budgets—revenues and expenditures—for multiple budget units
  • Identify and allocate the necessary resources to plan and conduct unit events, programs, operations, and other activities
  • Approve unit revenue collection and accountability procedures
  • Apply municipal accounting principles to manage unit operating budget expenditures and revenues
  • Use current trend analysis techniques in the evaluation of unit program along with revenues and expenditures
  • Use assigned ProCard to fund expenditures for unit events, programs, and operations
  • Approve ProCard transactions for assigned direct report staff as needed

Reporting

  • Develop and submit monthly unit operations report to director for monthly meeting with deputy city manager
  • Coordinate, review, and approve cost recovery data collection and reporting for all unit programs
  • Develop and present a variety of unit and department presentations
  • Review and monitor unit staff training plans and reports, direct actions as necessary
  • Utilize PowerBI, Oracle, and InSITE database for tracking revenues, expenditures, and statistical analysis.

Programming

  • Lead diverse team efforts to establish schedules for annual unit events and fitness programs
  • Strategically inspect and analyze unit facilities, amenities, programs, activities, and events
  • Develop and administer unit, department, and city policies, procedures, and practices to serve the fitness needs of the community
  • Evaluate content and cost recovery of unit events, programs, operations, and activities and initiate appropriate changes as needed
  • Must be innovative and stay on top of fitness trends to keep offerings fresh and demanded

Special Assignments

  • Lead and/or serve on various department committees related to department/unit operations, programs, events, process improvement, facilities, and other administrative or leadership requirements
  • Assist with modeling and implementing departments cultural foundations

Overall Duties

  • Provide professional-level staff leadership and direction for unit operations, events, programs, facilities, special projects, and other activities
  • Coordinate and approve the daily assignments and tasks for direct reports and other assigned staff
  • Manage the daily operations for unit events, programs, and facilities
  • Work a varied work schedule that consistently includes nights, weekends, and holidays as needed
  • Develop and approve short- and long-term strategic and business planning for unit
  • Manage and oversee a variety of emergency operations and situations; serve as lead department representative in incident command system emergency planning and operations
  • Provide and perform a range of administrative, technical, and managerial duties/functions to support unit goals, objectives, and operations
  • Oversee and approve unit marketing, promotions, advertising, partnerships, and sponsorships
  • Develop and submit annual Capital Improvement Program (CIP) project requests for assigned unit facilities and amenities
  • Assist with the oversight of CIP projects at assigned unit facilities and amenities

Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on the current workloads and department needs.
