Recreation Program Coordinator
Dept: Community Recreation (Parks & Recs)

General Overview:
This position is responsible for the oversight, development, planning and coordination, to ultimate implementation of comprehensive recreation programming for a variety of ages and populations to meet community interests and needs. The position will have responsibilities in the areas of aquatics and athletics, to include day camps, swimming lessons, swim team, and additional community programs and event development as required and needed by the department.
This position requires strong time management skills, organization, multi-tasking, creativity, in conjunction with managing multiple projects at one time and completing them in a thorough and timely manner from start to finish. The candidate must be adept at planning and scheduling on both a small and large-scale basis. The right candidate will excel at logistical planning and be detail oriented. Ability to improvise, learn quickly, solve problems efficiently, train others, and is self-motivated. Intermediate professional skills and works under the general direction of the Director of Community Recreation.
Manages all aspects of the seasonal Municipal Pool operation and supports city athletic programs, adult and youth leagues year-round, and other program operations. Responsibilities include management and recruitment of paid and volunteer staff in multiple roles, securing and negotiating program contractors and maintenance needs for aquatics areas, equipment procurement and other needs for successful program operations.
Key Responsibilities:
Aquatics:
Plan, manage, schedule, and supervise the seasonal operation of the Municipal Pool, including opening, closing, and regular maintenance both in season and off season.
Orchestrate and supervise the training of seasonal pool staff including lifeguards, pool manager, head lifeguards, instructors, and swim team coaches. Recruit, interview, train and hire staff for seasonal pool operations includes leading the summer staff recruitment and hiring process for support of all aquatics programming operations such as swim lessons, open swim, and swim team activities.
Ensure proper water chemistry and oversee all equipment maintenance and operations.
Understands the mechanical operations of a commercial swimming pool for day-to-day operation, seasonal preparations and closure.
Maintain vendor relationships and order necessary supplies for pool operations.
Mechanically minded to fix and trouble shoot pool operating system. Experience operating pool pump and mechanical systems. Maintain safety standards and procedures and train staff accordingly.
Serves as program administrator to support summer swim team operations.
Operate the facility to meet the VDH and Model Aquatic Code for public safety and industry standards.
Athletics and General Programming Areas:
Ability to manage and plan multiple projects (both short and long term) simultaneously.
Supervise, coordinate, implement, schedule and execute various youth and adult athletic leagues and programs. Develop new athletic programs in accordance with community interests and needs.
Coordinate contracts, vendors, and volunteers to ensure successful program execution. Track income and expenses for each event and program.
Quickly respond to concerns and inquiries from citizens regarding recreation and program operations.
Prepare program staff schedules. Resolve procedural, operational, and other work-related conflicts by cooperating, collaborating, and compromising. Supervise the purchase, use, care, and maintenance of recreation supplies and equipment.
Schedule all athletic facilities to support community groups and athletic programs. Works cooperatively with Parks Maintenance and school division to communicate facilities use to support program needs.
Design and produce promotional material as assigned and in support of programs.
Assist with customer service as part of the front office staff and provides information to patrons about all programs and department operations, as needed. Provide registration assistance as needed.
Facilitates special events coordinated by the Department of Community Recreation, as assigned.
Serves in the absence of the Director. Strong Leadership skillsets and experience needed.
Possess a project management style coordination between a myriad of programs with meticulous attention to detail.
Time management is a critical skillset; ability to set deadlines/suspense’s and meet them on-time.
Positive demeanor to engage with the community both verbally and written, and the ability to host public speaking events and professionally articulate specific event/message as it relates to program areas.
Enjoys working in a friendly, team environment with a customer-first focus.
Follows Departmental operational procedures and City policy.

Education and Experience:
Any combination of training, education, and experience equivalent to graduation from an accredited college or university with a Bachelor's Degree in Recreation, Leisure Services, Communications, Facility Management, Public Administration, or a related field.
Preferred Experience managing and operating with a minimum combination of 3 years for the following areas:Work Experience in a role responsible for aquatic facility management and staff supervision and training processes, and/or
Work Experience in the operations, supervision and management of athletic programs, leagues, camps, and other general recreation programs from concept to delivery.
Equivalent combinations of education and experience will be considered.
Certifications and Special Requirements:
Must possess and maintain a valid Virginia driver's license and a driving record acceptable to the City.
Must pass a thorough criminal background investigation.
Certified Pool Operator (CPO) or Aquatic Facility Operator (AFO) certification required within 6 months of hire.
Typical office hours are 8:30 a.m. to 4:30 p.m. Monday-Friday. This position will require the individual to work weekends, holidays, and after normal business hours to support the operations of the programs and facilities as needed for successful implementation and operation.
Requires experience with Computers, office procedures and a variety of Microsoft software. Experience with Canva.
Physical Requirements:
Must occasionally lift and carry up to 50 pounds.
Requires physical activities such as climbing, standing, balancing, kneeling, crouching, and crawling.
Frequent exposure to outdoor weather conditions and wet or humid environments.
Involves work with chemicals, mechanical equipment, and public interaction.

May require use of personal protective equipment and working in moderately noisy conditions.
