Recreation Specialist I - Event Specialist

Job duties and responsibilities include but are not limited to:

  • Assist in creatively planning, leading, coordinating and evaluating outdoor special events and ceremonies for a diverse audience.
  • Recruitment and coordination of exhibitors and food vendors for each event to include application development, selection process, and managing supporting documents required by the City of Virginia Beach.
  • Operate a multi-line telephone, as the main form of communication, to provide information and answer questions to vendors, patrons, and contractors. Follow up with email communication as needed.
  • Maintain ongoing communication before, during, and after each event.
  • Utilize microcomputers (Microsoft Word, Excel, Outlook, Teams, and ACTIVE Net) in daily functions and tasks.
  • Utilize event-related software to create accounts, process transactions and run reports for vendors, exhibitors, and other event related registration.
  • Maintain confidentiality of vendors, participants, and organization information.
  • Develop and maintain ongoing internal communications and working relationships among department staff and City agencies and departments, citizens, and customers.
  • Provide manual labor for events and ceremonies to include setup and breakdown.
  • Assist in completing event permits, create event layouts and other event related documents.
  • Assist in managing and maintaining equipment and supply inventory.
  • Assist in coordinating deliveries of park system equipment and contractual equipment to park sites for various events and ceremonies within department and other city agencies.
  • Participate in scheduled meetings and mandatory meetings.
  • Ability to work independently and in a team environment.
  • Must be able to work varied hours evenings, nights, holidays, and weekends in an outdoor environment in

various weather conditions and for extended periods of time greater than 8 hours.

  • Enforce City policies, procedures, regulations, and safety practices; assist with the investigation of accidents and incidents occurring within the facility and event/program, and ensure corrective action is initiated as needed; coordinate with other City agencies and staff as needed.
  • Assist the permitting office with private rentals with load in and set up as needed.
  • Assist with unit outdoor programs as needed including but not limited to kayaking, nature-based programs, and camps, and environmental programs.

In addition to the minimum requirements, the ideal candidate for this position will have experience listed in the preferences below. Candidates with the preferred experience should ensure the information is provided in the application.

MINIMUMS: Requires a Bachelors degree in recreation management, therapeutic recreation, exercise science, or a related field; OR any combination of education (above the high school level) and/or experience equivalent to four (4) years in fields utilizing the required knowledge, skills, and abilities and associated with such positions as recreation leader or recreation program supervisor.
