ACCOUNT CLERK II - Out-of-School Time Registration Management Team job duties and responsibilities include, but are not limited to:

 

Serve as a member of the Out-of-School Time Programs Registration Management Team. This team is responsible for ensuring the Child Care Program Registration Standards are met and customer accounts are accurate and financially up to date.

  • Provide legendary customer service assistance to customers and departmental staff in person, by phone and e-mail
  • Work on a team to accurately schedule and process 44,500+ registrations, payments, reinstatements, transfers, withdrawals and refunds weekly and monthly; ensure payments are received on time and perform daily revenue account and bank deposits
  • Create, maintain and update 6,000+ customer account information using a computerized registration database and electronic forms database.
  • Research and decipher financial transactions
  • Address and resolve customer account and registration concerns and issues accurately and promptly
  • Work in multiple database and software systems simultaneously
  • Audit electronic childcare records to ensure all required forms and documents are complete, participants are eligible for programs and following up for missing/incomplete records
  • Generate and prepare reports to program staff and supervisors
  • Provide technical assistance to customers and staff
  • Reconcile monthly and weekly childcare attendance records to ensure payments received
  • Perform administrative and clerical tasks such as data entry, filing, emailing, utilizing a call center agent phone system

MINIMUMS:
High school or GED plus two (2) years experience in fields providing the required knowledge, skills and abilities, such as clerical accounting or bookkeeping; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

SPECIAL REQUIREMENTS:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

May require a passing score of 30 words per minute on a typing test.

This position is being advertised as a pool, and applications will be used to fill current vacancies and any other similar Account Clerk II positions that become available within six (6) months from the closing date of this posting.

Out-of-School Time Programs operate Monday – Friday, from 6:30am – 6pm with occasional weekends and extended nights during peak registration periods and training. This position requires at least one open (6:15am – 2:45pm) and one closing (9:30am – 6pm) shift Monday – Thursday and rotating Fridays. Work shifts may be extended until after the last child is picked up at the end of programs, with the possibility of working split shifts. Additionally, supervisors are expected to be available as needed to meet the needs of staff and customers.

This is an Alpha I position, which requires reporting to work during periods of emergency or inclement weather, regardless of the City’s operational status.

Requires a current and valid Driver’s license.

As a condition of employment, all employees must attend P&R Connection (Department Orientation). If selected for the position, you will be provided an approximate training date at the time of hire. Training is held from 8:30am-5:00pm, every other Friday, at the Parks & Recreation Administration Building. When an exemption is permittable, a hybrid version of the training is available, but will require training attendance on a weekend.
