Recreation Program Coordinator I performs administrative and professional work to develop, coordinate, and manage arts, culture, and theatre programs, meeting the community's recreation and leisure needs. Key responsibilities include overseeing and collaborating with theatre organizations to produce year-round productions, coordinating classes at the Bowman House Arts and Crafts Center, and supporting town-wide special events as part of the Events and Culture division.
This position works independently under the limited supervision of the Superintendent of Events and Culture, reporting major activities through meetings and reports.
Work Schedule: Monday through Friday 8:00 AM - 4:30 PM
Occasional night and weekend shifts required to support event, theatre, and program work.
All new employees must satisfactorily complete a background check. A conditional offer of employment may then be made contingent upon the successful completion of a drug test.

Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.
Essential Functions:
- Personnel Management:
- Hire, train, and evaluate part-time art instructors for youth, teen, and adult pottery and art classes, as well as lab monitor and glaze team volunteers.
- Facility and Equipment Oversight:
- Oversee repairs and maintenance of equipment at the Bowman House.
- Procure supplies for the pottery program, including clay, chemicals, and tools.
- Maintain an equipment replacement program for the Bowman House.
- Event, Class and Program Coordination:
- Collaborate with volunteers to organize the Bowman House Show and Sale twice annually.
- Develop class fees and budgets for arts programs.
- Coordinate and oversee pottery and art classes for all ages.
- Procure supplies for arts classes and programs held at the Vienna Community Center as needed.
- Arts Administration:
- Serve as the Town’s representative on the Vienna Public Arts Commission.
- Track and report revenues and expenses for all arts programs and assigned events.
- Manage classes in RecTrac software, including data entry, roster management, cancellations, fees, refunds, ticket sales, and addressing customer complaints.
- Theatre Coordination:
- Coordinate and schedule live theatre productions with Vienna Theatre Company and Vienna Youth Players.
- Manage theatre logistics, including rights and royalties, lighting and sound equipment, budgeting, fund allocation, and schedule changes.
- Hire, train, and evaluate the part-time Theatre Director for Vienna Youth Players and assist in hiring instructors.
- Content Development:
- Provide content for five quarterly and seasonal program/activity guides.
- Prepare seasonal reports for programs and events.
- Update and maintain assigned sections of the Town website.
- Special Event Support:
- Assist in planning, executing, and evaluating special events as needed.
- Provide on-site support for at least six mandatory annual events.
- Professional Development:
- Attend meetings, conferences, and seminars.
- Participate in local and state professional organizations and training sessions.
Additional Duties
- Prepare general reports and correspondence to support the Events and Culture Division.
- Perform related work as assigned.
- Prepare annual budget request and compile information for budget submission as needed.
Minimum Training and Experience
Requires a Bachelor's Degree in hospitality, recreation, arts management, marketing, business or closely related area.
Requires two years of recreation or arts programming experience including budgeting, volunteer management, supervision, and event planning or other closely related experience.
Special Certifications and Licenses:
Valid Statedriver’s License.
Must be able to obtain CPR and First Aid certifications within six months.
Certified Parks & Recreation Professional preferred.
